Event Terms and Conditions

1. Definitions

“ICFA” means the International Climate Finance Accelerator Luxembourg Initiative a.s.b.l., its subsidiaries and affiliates, collectively referred to as the ICFA“, engaged in the organization and production of ICFA Events.

“ICFA Event” means any gathering or event of prominent and influential institutional investors, pension funds, fund managers, and investors from around the world, organized by the ICFA.

“ICFA Event Delegate” means any party who registers to attend an ICFA Event.

2. Registration Fee

The registration fee (“Fee”) entitles the Delegate to attend all sessions of the ICFA Event, as well as refreshment breaks, including lunch and reception, which is open to all ICFA Event Delegates. The Fee also includes ICFA Event materials, which will be presented to the ICFA Event Delegate prior to or during the ICFA Event, and any subsequent materials made available to ICFA Event Delegates online after the ICFA Event, usually in electronic form. Admission to invitation-only sessions and receptions, pre- and post-conference sessions, and side events is not included in the Fee.

The Fee is determined according to ICFA Event Delegate type and time of purchase. Dates will be determined by the ICFA and are subject to change. The Fee will be subject to any applicable taxes.

The Fee will be waived for a limited number of ICFA Event Delegates selected at the sole discretion of the ICFA. Interested parties who are employed by or who otherwise represent development financial institutions, public and corporate pension funds, sovereign wealth funds, endowments of foundations, religious institutions, and universities are invited to apply for a waiver. All attendees must register and pay fees independently. Badge sharing, which means accessing the ICFA Event by more than one person under a single registration, is strictly prohibited.

3. Payment

Full payment of the Fee must be made to prior to the ICFA Event taking place.

4. Misclassifications & Ineligible Registrations

The ICFA reserves the right to decline an ICFA Event Delegate registration for any reason at any time up to and during the ICFA Event. The ICFA will fully refund the Fee relating to any such registration that the ICFA chooses to decline within 30 days of notifying the ICFA Event Delegate of this decision.

All registrations are reviewed to ensure accuracy of the ICFA Event Delegate type and time of purchase. The ICFA reserves the right to change the ICFA Event Delegate type, and adjust the Fee to ensure that the Fee is determined accurately.

5. Content and Agenda

The ICFA reserves the rights to determine and alter:

a. The layout of the ICFA Event generally,

b. The content of the ICFA Event,

c. The speakers featured at the ICFA Event,

d. Any and all other technical or administrative details in respect of the ICFA Event.

6. Cancelling or Transferring Your Registration

ICFA Event Delegates may cancel their registration by written notification via email to the ICFA. A full refund of the Fee, less administrative fee, will be issued by the ICFA when cancellation notification is received in writing via email or standard mail no later than one month before the ICFA Event. After this date, no refunds will be issued for cancellations made by the ICFA Event Delegate.

ICFA Event Delegates may transfer their registration to another party by written notification to the ICFA, if transfer request is received in writing via email no later than one week before the ICFA Event. All transferred registrations might incur an administrative fee per transferred registration. The individual submitting the transfer request is responsible for all financial obligations, including the original Fee and the administrative fee. No refunds or cancellations will be allowed for passes purchased as a part of the group discount.

7. Cancellation or Postponement

If the ICFA changes the date of the ICFA Event for the current year, for any reason other than those outlined in article 7 and 8 of these Terms and Conditions, but the ICFA Event is reasonably expected by the Host to be held in the following two calendar years, all Fees and registrations shall be deemed to apply to the ICFA Event on the new date in the same way that they would have applied to the originally scheduled ICFA Event.

If the ICFA cancels the ICFA Event and it is not reasonably expected by the ICFA that the ICFA Event will be held in the following two calendar years, ICFA Event Delegates shall be entitled to a full refund of Fees.

8. Format Change Right

The ICFA may elect, at its sole discretion, to convert the ICFA Event format between an in-person, a hybrid, or a virtual event if the ICFA determines that the ICFA Event is required to comply with government (local or international) imposed restrictions on or recommendations for maximum meeting size, and such restrictions or recommendations would apply to the ICFA Event over the scheduled ICFA Event dates, or if there are recommendations or travel advisories issued by the government agencies advising against non-essential travel, which would materially impact the ICFA Event.

If the ICFA elects to change the format of the ICFA Event, the following shall apply:

a. ICFA Event Delegates will be provided with a ticket for the changed format,

b. The remainder of the Fee will be issued as a credit to each ICFA Event Delegate,

c. The credit can either be applied toward purchase of a ticket toward a comparable in-person event held within two calendar years of the original ICFA Event date OR converted to a donation to the ICFA.

Any tickets purchased for sessions or for other side events before, during, or after the ICFA Event will also be credited toward comparable future events.

9. Force Majeure

If for any reason beyond the ICFA’s reasonable control (including but not limited to: strikes; acts, regulations or orders of governmental authorities; civil disorder; disasters; acts of terrorism; acts of war; acts of God) it is impossible to run a conference, the ICFA will as a first choice look to postpone the ICFA Event but reserves the right to retain some or all Fees as a contribution to costs incurred. Should the ICFA Event be cancelled for a force majeure event and it is not reasonably possible to reschedule, the ICFA shall be under no obligation to refund all or part of the Fee.

10. Travel and Accommodation

The ICFA is not responsible for booking any transportation or accommodation required by ICFA Event Delegates nor for any transfers to and from the ICFA Event. Although the ICFA will work with local hotels to secure a preferential rate for those attending the ICFA Event, the ICFA makes no assurances as to the availability of this rate nor of the hotel services offered. The ICFA will not accept liability for any public or individual transport disruption or deferral. In such circumstances, our standard cancellation policy applies.

11. Invitation Letters

An invitation letter for visa purposes can be issued once the ICFA has received the registration and payment for the ICFA Event. The Fee is non-refundable if the visa is denied to the ICFA Event Delegate. All requests for an invitation letter must be in writing. Please email requests to info@icfa.lu.
